Technology

When off-the-shelf software isn't enough, we build it

Some sectors run administrative processes that no standard software really covers. For those we have developed dedicated platforms: membership and dues management for trade unions, contributions and donation receipts for associations, order-to-delivery cycle and transport documents for haulage companies.

Technology

Six areas where we built a tool of our own

We describe the sector and the function: the names of the organisations these were built for remain confidential unless they agree otherwise.

Unions and worker representation

Trade unions

Management of memberships and dues across several territorial levels, with automatic reconciliation of receipts against bank statements and tracked reminders. A second module checks members' payslips against the applicable collective agreement and quantifies any shortfall.

  • Member records and multi-level territorial structure
  • Reconciliation of receipts against bank statements
  • Assisted checking of payslips against the collective agreement
  • Recovery letters and deadline management

Religious, cultural and sports associations

Bodies and associations

Multi-entity system for collecting membership fees and donations, with automatic issuing of receipts and reporting ready for statutory filings. Each entity sees only its own data.

  • Membership fees, donations and numbered receipts
  • Separation of data between entities on the same installation
  • Periodic reports and summaries for tax filings
  • Register of supporters and donation history

Transport companies

Haulage and logistics

Going live

Platform for managing transport orders: assignment to the driver, delivery confirmation from the app with a photograph of the signed delivery note, monthly reporting by client and by vehicle.

  • Transport orders and assignment to vehicles
  • Driver app capturing the signed delivery note
  • Monthly reporting by customer, vehicle and route
  • Digital archiving of delivery documents

Professional firms and structured businesses

Document and certified-email archive

Querying of very large certified-email archives: search, classification and assisted summarising of messages, with extraction of the relevant attachments. Built to handle hundreds of thousands of messages without losing the thread of a file.

  • Search across large certified-email archives
  • Assisted summary of content and attachments
  • Classification of messages by file and counterparty
  • Export of evidence for professional use

Professional firms and data processing centres

Client communication

Structured sending of documents and communications to clients through professional messaging channels, with a delivery log, analysis of replies and electronic signature of documents by one-time code.

  • Tracked document delivery over messaging channels
  • Log of deliveries and read receipts
  • Electronic signature of documents with OTP code
  • Client records aligned with the management system

Restaurants, bars, accommodation

HORECA and hospitality

For this sector we supply the TeamSystem group's software, as contracted members of its Be Leader programme, and handle the preliminary analysis, configuration, roll-out and staff training.

  • Analysis of the venue's working cycle
  • Configuration and roll-out of the system
  • Integration with accounting and tax obligations
  • Training for front-of-house, kitchen and administrative staff

Platforms marked as going live are in first release with a pilot client: we say so because presenting something still in testing as established would be dishonest.

Technology

We use it, and we say how

Several of our platforms use artificial intelligence models for reading, classifying and summarising documents. That choice carries precise responsibilities, now also in law.

The European regulation on artificial intelligence — Regulation (EU) 2024/1689 — has entered the phase in which most of its obligations apply. For a firm handling the accounting, payroll and document data of other businesses, this means the use of such tools can no longer be treated as a purely technical matter.

Human oversight

No output produced by an automated system reaches the client without a person checking it. Artificial intelligence proposes; the professional verifies and answers for it.

Transparency

Where content or analysis is produced with assistance, we say so. Whoever receives a document knows how it was produced and from what data.

Data governance

Client data stays with the client: it is never used to train third-party models and moves only within the agreed perimeter, under an Article 28 GDPR appointment.

Traceability

Every processing run leaves a record: which data was used, when, with what outcome. That is the precondition for answering an audit or a challenge.

If your company uses or is considering artificial intelligence tools in its administrative processes, we can help you put things in order: which systems are in use, with what data, and with what disclosure obligations towards employees and clients.

Bring us a concrete case

Describe the process that currently takes up most of your time, or the market you are considering. We will tell you whether we can take it on, how, and on what terms.
